Retention periods may vary depending on the nature of the information, the type of program enrollment, and the duration of the Client’s participation in VECG services.

6.2  Retention of Uploaded Documents and Records

Documents uploaded by Clients—including service records, medical information, worksheets, templates, and educational materials—remain stored securely in VECG’s cloud-based systems for the duration of the Client’s active program membership. Upon graduation or termination of services, such documents may continue to be retained for administrative, security, or operational reasons unless the Client specifically requests deletion.

6.3  Retention for Legal and Compliance Purposes

Certain categories of information may be retained for extended periods to comply with legal obligations, tax requirements, dispute resolution needs, fraud-prevention measures, or regulatory compliance. Such retention may continue for several years as required by law or business necessity, even after an account has been closed.

6.4  Requests for Deletion

Clients may request deletion of their personal information at any time by contacting VECG at the designated privacy email. Upon receipt of a verified request, VECG will delete the information unless retention is required by law or is necessary to protect VECG’s legitimate interests, such as recordkeeping, contractual enforcement, or prevention of misuse of educational materials.

6.5  Effect of Account Closure

When a Client completes the educational program or terminates their account, VECG may deactivate access immediately while continuing to retain necessary records in accordance with this Policy. Following closure, all remaining data will be securely stored until it is either lawfully deleted or anonymized.

7.1  Commitment to Safeguarding Information

VECG is committed to protecting the confidentiality, integrity, and security of all personal information entrusted to us. We maintain administrative, technical, and physical safeguards designed to prevent unauthorized access, misuse, disclosure, alteration, or destruction of Client information.

Access to all client files, documents, and training records is restricted to authorized personnel who require such access to perform their duties. Security controls include encrypted communication channels, password-protected systems, audit logs, and monitoring practices intended to detect and mitigate security risks.

Only VECG staff, contractors, and authorized agents who have a legitimate operational need may access personal information. All personnel are required to maintain confidentiality and adhere to strict data-handling protocols. Access permissions are regularly reviewed and revoked when no longer needed.

Clients are responsible for maintaining the security of their own login credentials, devices, and internet connections. Clients should take reasonable precautions to safeguard their accounts, including using strong passwords, enabling device security features, and refraining from sharing account access with others. Any suspected compromise of credentials must be reported to VECG promptly.

 

8. CHILDREN’S PRIVACY

8.1  Services Intended for Adults Only

VECG provides educational training programs designed exclusively for adults, specifically

U.S. military veterans and other eligible individuals. Our services are not intended for, directed toward, or suitable for children under the age of eighteen (18).

8.2  No Knowing Collection of Children’s Data

VECG does not knowingly collect, store, or process personal information from anyone under eighteen (18) years old. If we become aware that personal information has been collected from a minor without verifiable parental consent, VECG will promptly delete such information from our systems.

8.3  Client Responsibility Regarding Minors

Clients agree that they will not permit minors to use or access VECG’s educational programs, coaching services, AI features, dashboards, or any other components of the platform. Any account determined to be created or used by an individual under the age of eighteen may be suspended or terminated at VECG’s discretion.

However, certain features or tools may become unavailable if requested restrictions prevent VECG from delivering essential components of the training program.

 

10. INTERNATIONAL USERS

10.1  Services Intended for U.S. Users Only

VECG provides educational programs and training services designed exclusively for individuals located within the United States. Our curriculum, materials, communications, and data processes are developed for U.S. military veterans and are not intended for access or use by individuals residing outside the United States.

10.2  Data Processing in the United States

All personal information collected by VECG is stored, accessed, and processed within the United States. Clients who access the VECG platform from outside the United States acknowledge that their information will be transferred to, stored in, and processed in U.S. jurisdictions, which may have different data protection laws than those in their home country.

10.3  No Guarantee of Compliance with Foreign Privacy Laws

Because VECG operates solely within the United States and supports U.S. veterans, we do not represent that our privacy practices meet the requirements of any non-U.S. data protection laws or international regulations. Individuals located outside the United States who choose to interact with our services do so at their own discretion and risk.
